PLANNING TEAM ROLES

Everyone has different skills, we all enjoy different things. Have a look at the following roles and see which one best suits you. Whichever one you choose, we know you’ll learn so much and have a wonderful experience.

The commitment you make is entirely up to you but typically would involve 1-2 hours per week for Team Members and about 3-4 hours per week for Team Leaders. 

We recommend making a note of a couple of the roles just in case the one you prefer has already been taken. Whichever role you do, we know you’ll learn so much and have a wonderful experience.

Event Leader

 

The BIG role. The person responsible for the running of this wonderful event. A truly committed individual who’s looking for significant growth and to develop their leadership
skills. 

They’ll be guided by previous leaders and coached in each aspect of organising the
leadership team and running the event.

Event Deputy

Do you thrive in organised chaos, love keeping projects on track, and enjoy leading from behind the scenes?

Do you want to play a critical leadership role in delivering food, love and hope to thousands of people across London this Christmas?

This isn’t just a support role — it’s a leadership position in its own right.

You’ll be in charge of the project plan, helping lead key teams, closing gaps in delivery, and ensuring we’re not only ready for this year — but already smarter for next year.

Are you that Leader in the making? Then spend a year or two as Deputy, ready to become our Leader in the next couple of years.

Technology​

You’re a tech wizard!

Whether you’re a Business Analyst, Programmer, Coder or IT enthusiast, this is a great opportunity to help us automate many of the processes and data.

Built on the Google Sheets scripted registration system, responsibilities include:

– Creating and integrating Google forms.

– Administering and configuring systems such as Zoho ONE & Google Workspace.

– Designing innovative ways to utilise technology to improve the processes and procedures of Basket Brigade.

– Creating a process for matching driver data to recipient data.

– Working with Zoho Champion, WordPress webmaster and IT Manager.

Positions include Technology Team Leader and Technology Team Member.

Purchasing

A bargain hunter who loves negotiating and thrives on beating targets.

Responsibilities include:

– Negotiating with suppliers
on the best deals possible.

– Sourcing alternative suppliers.

– Liaising with wholesalers.

– Sourcing luxury items that organisations are willing to donate.

– Purchasing ancillary items needed for the event.

Positions include Purchasing Leader and Purchasing Team Deputy.

Logistics

The beating heart of the event, helping to manage what happens when & where.

Responsibilities include:

– Overseeing and managing all aspects of logistics, including site selection and management, location details, routes, etc.

– Sourcing supporting items such as AV, Walkie Talkies and T-Shirts.

– Planning timeline of the
event day.

– Planning & executing events on the 23rd.

Positions include Logistics Leader, Logistics Team Member and Logistics Deputy.

Organising

You love organising!

You’re even known amongst friends and family as the best person to organise something!

Then you’ll love this position.

Leading regular team meetings to track progress and support your volunteers.

Attending the weekly Saturday planning call with other team leads and charity trustees.

Ensuring accurate data management and recipient tracking within our systems.

Supporting the onboarding of new partner organisations within the M25 area.

Making sure policies and timelines are being followed and that the team feels supported throughout.

Positions include Organisations Leader and Organisations Team Member.

Fundraising

You’ll be pleased to know this isn’t about shaking buckets! Nope, it’s about developing contacts that want to help. 

Responsibilities include:

– Seeking, negotiating & sourcing items for our online auction.

– Looking for opportunities to match a company’s desire to support Corporate Social.

– Responsibility with volunteer opportunities.

– Designing ways to increase corporate sponsorship of the event.

– Collaborating with the Marketing team.

If you have a nice persuasive manner and are happy sourcing items and corporate contacts, this is the role for you.

Positions include Fundraising and Auction Champion.

Event Crew

The Crew are at the heart of the event day.

They guide, support and help manage everything that happens during basket-building and delivery.

For this reason, it’s vital they feel well-prepared, clearly informed, and energised by the bigger picture of what we’re doing.

Positions include Crew Team Leader, Crew Team Deputy and Crew Team Member.

The Cafe

The cafe is really important to the event because it’s where everyone, volunteers and crew, come for their food and drinks!

Not just to eat and drink, but to chat about the day and their experiences.

It’s the hub of the event.

Positions include Cafe Manager and Cafe Deputy Manager. 

Car Park

Are you organised, calm under pressure, and great at keeping things running smoothly?

Then become our Car Park Lead and play a key role ensuring safe, efficient vehicle flow and a great first impression for everyone arriving at our event.

You’ll work closely with the logistics and site teams to plan layout, signage, access and volunteer coordination.

On the day, you’ll be the go-to person for all car park operations, helping ensure the site is safe, well-organised, and easy to navigate.
